    West Suburban Community Pantry

    Title:                 Volunteer Coordinator

    Location:        6809 Hobson Valley Drive, Suite 118, Woodridge, Illinois 60517 

    Reports to:     Director of Development and Marketing

    Status:             Full-time, Exempt      

    Organization: West Suburban Community Pantry (WSCP) is a nonprofit organization that creates opportunities for our neighbors in DuPage and Will Counties to thrive by providing nourishing food and access to support services. WSCP operates in Woodridge where neighbors can shop in person or place an online order to secure groceries. Each week, WSCP serves approximately 1,000 families. Last year, WSCP distributed 3.9 million pounds of food and groceries to neighbors in need.

    Position Summary: The Volunteer Coordinator will play a vital role in supporting Pantry operations while stewarding relationships and engagement with individual and corporate volunteers. This position reports to the Director of Development and Marketing and works closely with the Director of Pantry Operations and the Pantry Manager.  In FY2025, more than 1,000 volunteers donated 50,000 hours of service.

    Key Responsibilities:

    Volunteer Cultivation and Leadership

    • Lead the recruitment of individual and group (corporate, organization, youth) volunteers
    • Conduct orientation and onboarding sessions for volunteers including developing content and materials
    • Engage with volunteers to sustain and deepen connections to the mission and the Pantry
    • Lead volunteer appreciation activities in April and recognition throughout the year
    • Handle conflicts that may arise with the volunteers in a respectful and diplomatic manner
    • Develop volunteer job descriptions for key leadership roles
    •  Identify volunteers for targeted opportunities and cultivate their skills
    • Lead the Kids Make a Difference initiative including orientation, communication, tracking, and project assignments
    • Assist in developing the agenda and the format for Volunteer Townhall sessions held approximately twice per year
    • Develop and execute an annual volunteer survey, analyze and share results and make recommendations for changes based on feedback
    • Support activities and communication with the Junior Board to ensure appropriate stewardship

      Volunteer Administration

    • Maintain Better Impact volunteer database including tracking volunteer registrations, adjusting timecards, and creating reports
    • Establish schedules and assignments to align volunteer skills with appropriate roles
    • Communicate and adjust volunteer scheduling to appropriate team members
    •  Maintain the corporate volunteer calendar in Outlook
    • Work with the operations team to build opportunities for corporate groups
    • Oversee welcome and onsite warehouse activities of corporate groups
    • Manage all documentation and training schedules to ensure safety and compliance by all volunteers
    • Prepare name tags and manage other supplies as needed
    • Monitor inquiries from email and voicemail to ensure responsiveness
    • Oversee Community Service volunteers who meet the Pantry’s guidelines and ensure that court documentation is accurately filed
    • Prepare the weekly Off the Shelf e-newsletter and disseminate
    • Prepare monthly reports on volunteer numbers and hours

    Events, Food Drives, and Outreach Activities Collaboration

    • In partnership with the Development and Operations teams, determine volunteer needs and recruit volunteers for fundraising events, community outreach events, food drives and retail donation pick-ups

    Other Duties

    • Manage the WSCP Volunteer Social Media page for oversight and post 1-2 times a month
    • Capture content including photos and stories of volunteers for marketing and communication initiatives
    • Collaborate with staff and volunteers to ensure process improvement, where appropriate, as it relates to Pantry operations

    Required Qualifications:

    • Bachelor’s degree in Communications, Business, Education, or related field
    • 1-2 years of experience in volunteer coordination, leadership training, or related field
    • Outstanding interpersonal skills
    • Excellent administrative and organizational skills
    • Ability to manage multiple deadlines and priorities
    • Proficiency with Microsoft Office Suite

    Preferred Qualifications:

    • Experience in the nonprofit sector
    • Experience with Better Impact or similar Volunteer Software
    • Bilingual in Spanish is a plus

    Physical Requirements:

    • Prolonged periods sitting at a computer
    • Occasional lifting of up to 30 pounds
    • Ability to work evening or weekend events as needed
    • Exposure to warehouse environment including temperature fluctuations of heat and cold

    Compensation & Benefits:

    • Salary range: $45,000-$50,000 commensurate with experience
    • Comprehensive health, dental, and vision insurance
    • PTO includes 10 days off a year (pro-rated based on start date) plus one week off between Christmas and New Year’s Day and 9 additional holidays
    • Simple IRA with 3% match
    • Hybrid work schedule available after the first 90 days of employment; hybrid schedule to be determined based on WSCP’s operational needs; remote option will be no more than one day per week due to the responsibilities of the role.
