Position Responsibilities
The following represents the primary position responsibilities, but other related duties necessary to meet the needs of the organization may be assigned.
Database support:
- Conduct gift entry and acknowledgement process in accordance with organizational policies and procedures, including oversight of Aspire’s multiple giving platforms.
- Monitor and cleanup Aspire’s CRM database to ensure accuracy and integrity, including but not limited to, data changes, constituent contact information, address accuracy, and the interrelationships of data.
- Execute data health procedures like deduping, NCOA updates, deceased donors, and bulk uploads.
- Reconcile gift reports with Finance department on monthly basis.
- Provide team members with reports and mailing lists.
- Assist with onboarding and implementation of new CRM and help develop rules, procedures, and best practices for database organization.
- Provide basic training and support to team members on how to effectively and efficiently utilize CRM.
Administrative:
- Schedule philanthropy related meetings and document notes.
- Make purchases and orders.
- Deliver or mail collateral and documents.
- Assemble in-house mailings.
- Maintain updated, accurate documentation for database and development system processes through a Philanthropy team handbook.
- Coordinates Philanthropy team calendar to improve team communication and increase solicitation and stewardship opportunities.
- Provide event planning and implementation support, as needed.
- Maintain and organize documents, folders, materials for events, mailings, and philanthropy initiatives.
- Help coordinate team meetings, celebrations, and outings.
Donor Relations:
- Respond to mail, email, and phone donor inquiries.
- Conduct and document thank you calls to donors.
- Manage in-kind donation inquiries including coordination with Aspire team members and following up with in-kind contributors.
- Produces biographies, profiles, and briefings for team members.
Other Duties
- Connect and build relationships with community leaders, business leaders, family members, Board members, and others to advance Aspire’s mission, vision, and strategic needs.
- Act in accordance with Aspire’s values while interacting with Aspire stakeholders.?

- Actively participate in professional development opportunities to enhance knowledge, performance, and impact.

Requirements
Required Education & Experience of a Philanthropy Coordinator:
- High School Diploma or GED
- 1 year experience with CRM databases
Preferred Education & Experience of a Philanthropy Coordinator:
- Bachelor’s Degree
- 1 year experience in administration, customer service, donor relations or philanthropy.
- 1 year experience with grant and/or gift management.
Additional Licensing/Certifications:
- Must have a valid driver’s license and reliable transportation

- Proficient knowledge of Microsoft Office Suite
- Strong organizational, time management, and project management skills with an ability to work independently and also with teams

*This position is full-time and based at our Hillside, Ill. location, 3 days per week (after 90 days). It will be on site 4 days per week initially. There is an option to work out of our Waukegan location too 1-2 days per week with the remainder in Hillside.
