The Event Coordinator will plan, organize and execute the logistics of a variety of organizational events including fundraising gatherings, members and donor stewardship outings, and outreach events based at our McDonald and Dickson-Murst Farms. The Event Coordinator will be a member of the Advancement Team that collaborates on organizational fundraising and marketing. While the Event Coordinator will be primarily focused on event logistics, attending weekly Advancement Team meetings will provide the opportunity to join the creative process of event theming and messaging in a fun and positive team environment.

Schedule & Job Location: Part-time, year round position based at the McDonald Farm in Naperville; Flexible hours and hybrid schedule available, annually averaging 20 hours/week with seasonal variation. Some evenings and weekends required.
Position Details:
- Rate of pay is budgeted at $25/hour
- Paid time off and retirement plan match
- Valid driver’s license, reliable transportation, and ability to travel to sites required; mileage reimbursed at IRS rate
- Ability to lift, carry, and move light to medium weight objects (up to 25 pounds)
Experience & Qualifications:
- Database management
- Experience with Microsoft Office and Teams
- Experience with Canva, Publisher or Adobe Suite
- Organized and able to juggle multiple projects simultaneously
- Flexible, respectful and responsive to questions, changes, and demands
Duties & Responsibilities:
- Uphold The Conservation Foundation’s mission, vision, and values with each event
- Create and maintain event promotion calendar and coordinate communications with Communications Manager and Digital Marketing Specialist as necessary
- Build relationships with event vendors and get multiple quotes on services as necessary
- Food and Beverage coordination for events and meetings
- Solicit in kind donations for event supplies
- Visit venues and assist with event layouts
- Manage event registration systems (Eventbrite, Give Cloud, Give Smart, etc.) and communications with attendees
- Maintain inventory of event supplies
- Assist in the set up and tear down of events
- Ensure event sponsors are promoted as agreed upon
- Attend weekly Advancement Team meetings
- Manage McDonald Farm rentals
- Conduct follow up calls or emails to attendees as necessary
Timeline:
